How to find families behind on forms
Quick answer: Build a smart list filtered by form completion date with operator Is Empty.
Step-by-step
- Open
Contactsand click + Smart List. - Click Advanced Filters.
- Search for the form's completion field (for example, "Emergency Medical Form completion date").
- Set the operator to
Is Empty. - Add a nested filter: tag
Isthe current academic year, to limit to enrolled families. - Click Apply.
- Save as something like "Enrolled families missing Emergency Medical Form."
What to do next
- Send a bulk message to the smart list reminding families to submit the form, with a direct link.
- Schedule an automated reminder sequence (weekly until submitted) instead of sending manually each time.
- For families who don't respond to email, follow up by phone from the list.
Tips
- For per-student forms (like a health form), each student has their own completion field. A family with two students may show "complete" for one and "missing" for the other.
