How to find families with missing information
Quick answer: Build a smart list using the Is Empty operator on the field you want to check.
Step-by-step
- Open
Contactsand click + Smart List. - Click Advanced Filters.
- Search for the field you want to check — phone number, address, Parent 2 email, a custom field.
- Set the operator to
Is Empty. - Click + Add Nested Filter and add a second condition: tag
Isthe current academic year. This limits results to currently enrolled families. - Click Apply.
- Save the smart list with a name like "Enrolled families missing phone number."
Useful "missing info" smart lists
- Families with no Parent 2 information (where there should be one)
- Families with missing emergency contact information
- Students with missing date of birth
- Families with no address on file
Tips
- Run these checks at least once a semester. Family data goes stale faster than expected.
- Combine with an automation: an annual "please verify your information" email cuts down on missing fields significantly.
