How to find families with missing information

Quick answer: Build a smart list using the Is Empty operator on the field you want to check.

Step-by-step

  1. Open Contacts and click + Smart List.
  2. Click Advanced Filters.
  3. Search for the field you want to check — phone number, address, Parent 2 email, a custom field.
  4. Set the operator to Is Empty.
  5. Click + Add Nested Filter and add a second condition: tag Is the current academic year. This limits results to currently enrolled families.
  6. Click Apply.
  7. Save the smart list with a name like "Enrolled families missing phone number."

Useful "missing info" smart lists

  • Families with no Parent 2 information (where there should be one)
  • Families with missing emergency contact information
  • Students with missing date of birth
  • Families with no address on file

Tips

  • Run these checks at least once a semester. Family data goes stale faster than expected.
  • Combine with an automation: an annual "please verify your information" email cuts down on missing fields significantly.
