The parent experience

Quick answer: Parents log into their portal, click Forms in the side nav, pick a form, fill in only what we don't already know, sign, and submit. The whole flow takes a few minutes on phone or desktop.

Step-by-step

1. The parent logs into their portal

They go to your branded parent portal URL and sign in. The portal uses passwordless magic-link login — we email them a one-tap link.

2. They click "Forms" in the side navigation

The Forms tab shows every form available, grouped by category (Registration, Medical, Permission, Release, Legal, Field Trip). Each row shows:

  • The form name and a one-line description
  • A status pill: Complete, Pending, or X of Y students done for per-student forms
  • A green badge if there's a fee attached

A progress bar across the top shows what percentage of forms are complete for the year.

3. They click into a specific form

The form opens with the title, your description, and any draft warnings at the top. For a per-student form, they see a horizontal student picker first — they tap the child this submission is for.

The form fields appear, with the parent's name, the student's name, today's date, and any health profile data already pre-filled. They only have to fill in what's actually new.

4. They sign and submit

For a drawn signature, they sign in the box with their finger or mouse, then tap Lock signature — the box turns green. For a typed signature, they type their full legal name in the field above the date.

They tap Submit form. Within a second, they're redirected to their submission history with a green "Submitted!" banner at the top.

5. They can review or print their submission

The history page lists every submission in their family's record. Each entry has a View / print button that opens the printable view. From there, the parent can save it as a PDF using their browser's built-in print dialog.

6. If the form is one-per-year and already submitted, they see a "Complete" state

Forms that only allow one submission per year (the default for most forms) show a green confirmation panel instead of an empty form: "You've completed this form for the 2025-26 year." with a link to view their submission.

What works on mobile

The portal is designed mobile-first. Every form type works on a phone:

  • Drawn signatures use the touchscreen — parents sign with their finger like a credit card receipt.
  • File uploads open the phone's camera or photo library, so parents can snap a photo of an immunization card without leaving the form.
  • Date pickers use the phone's native calendar picker.

Reminders and nudges

The portal doesn't spam parents about pending forms by default. Reminder emails are configured separately through your Growth Suite workflows. A common pattern:

  • When a form is added to the system, send an announcement email.
  • Two weeks before the academic year starts, send a reminder to families with incomplete forms.
  • Set up a workflow that fires only when a specific form's completion date field is empty.

Tip

Always log in as a real parent (using a test account if you have one) to preview your forms before activating them. The parent view is different from the admin preview — you want to see the experience your families will actually have.
