Reviewing submissions

Quick answer: Form submissions live in three places — the Portal Forms Inbox (newest first), the Completion Grid (who's missing what), and the individual submission record (full detail). Each has a different job.

1. Portal Forms Inbox

This is the live feed of submissions, newest first. Every row shows:

  • Form name and category
  • Status pill: Submitted, Pending payment, Voided
  • Family name and the parent who submitted
  • For per-student forms, which student it's for
  • Submission timestamp
  • Growth Suite sync status: synced, pending, or error

The inbox is your "new mail" view. Use it for daily review — what came in overnight, who needs a follow-up.

2. Portal Forms Completion Grid

This is the "who's missing what" view. Rows are students, columns are forms, cells show completion status:

Hover any green check to see the date it was submitted. The widget header tells you your overall completion rate (e.g. "47 of 52 students fully complete (90%)").

Use this view to chase missing forms before deadlines. It updates in real time as submissions roll in.

3. The individual submission record

Click into any submission (from the inbox or from a parent's record) to see:

  • The full submission with every field and its answer
  • Drawn signature image (or typed name in italic, with the acknowledgement statement)
  • Any uploaded files (with download links)
  • Submission metadata: who submitted, when, IP address
  • Print or save-as-PDF option

What about voiding or correcting submissions?

Submissions are append-only by design — once submitted, they're part of the historical record. A few things you can do:

  • Void a submission if it was filled out in error. Voided submissions show in history with a strikethrough; the family doesn't lose their place — they can re-submit.
  • Allow re-submission. If a form's "Resubmission allowed" setting is on, parents can update their answers and a new submission supersedes the old one. Both are kept in the historical record.
  • Trigger an admin re-sync if the original push to Growth Suite failed. (The system also retries automatically.)

Exporting

Two export formats are useful in different situations:

  • Print as PDF — one submission at a time. Best for individual student files.
  • CSV export of submissions — one row per submission with all fields as columns. Best for end-of-year audits or sharing with your accreditation reviewer.

Where parents see their own submissions

Parents have a Submission History page in their portal that shows every form they've ever submitted — with a print/PDF option for each. They never lose access to their records.

Tip

The Portal Forms widgets are pre-installed on a dedicated Portal Forms dashboard within your admin app. If you don't see them, contact your account manager to provision them.
