Understanding user roles and permissions

Quick answer: Growth Suite has two main roles — Admin and User. Admins can do everything; Users have a more limited view based on what your school configures.

The two main roles

  • Admin — full access to everything in Growth Suite, including settings, billing configuration, user management, integrations, and the ability to invite or remove team members. Most schools have 2–3 admins (head of school, business manager, lead administrator).
  • User — access to day-to-day operations like working with families, sending messages, viewing payment status. Cannot change settings or invite team members. Most teaching staff and support staff are Users.

What this affects

The role you're assigned controls:

  • Which menu items appear in your sidebar
  • Whether you can change school-wide settings
  • Whether you can invite or remove other team members
  • Whether you can configure tuition plans, custom fields, or automations
  • Whether you can import contacts or run bulk actions

Owner and Followers on a family record

Separate from your role, each family record has an Owner and Followers:

  • Owner — the team member primarily responsible for the family. Usually the admissions lead during enrollment, then transitions to the head of school or admin once enrolled.
  • Followers — additional team members who want to stay informed about the family. Followers receive notifications about activity on the record.

Owner and Followers are independent of role. A User can be the Owner of a family; an Admin can be a Follower.

If you need more access

If you're a User and need access to something you can't see, talk to your school's Admin. They can either change your role or make the specific change you need.
